How it works

One conversation, start to filed.

The story every practice tool promises and the client never sees. Here, the client is in it.

The quarter closes itself

Doddle Manager already knows the VAT quarter ended, because the work register watches Companies House and statutory dates daily and rolls work forward on its own. A records request goes to the client's app: four items, plain English, your wording.

The client answers in seconds

They get a notification, photograph the receipts, tick off what they have, and say "don't have this" on what they don't. Anything they send passes a strict security gate and lands in the right client file. Questions? They just chat, and you see who is typing, live.

Your team never chased once

The work item moved itself to "records received". The reminder emails never needed sending. The out-of-hours message covered the 9pm panic. And every message came from a verified client login, so you always knew who you were talking to.

The platform

Charming at the front. Ruthless at the back.

Everything below is included in every plan. No modules to decode, no per-seat surprises.

💬 Live chat your clients actually use

Threads, not lost emails. Clients message from the app; your team replies from Manager with names shown, screenshots pasted straight into the reply, and images displayed in the chat, tap to enlarge. Close a thread when it's resolved; a client reply reopens it. Out of hours? A kind auto-reply in your own words (with AI polish if you want it) holds the fort, aware of weekends and your holiday calendar.

  • Typing indicators both ways, replies in seconds
  • Every message from a verified client login
  • Out-of-hours auto-reply with your office hours
  • Assign threads to a team member, or your admins by default

🤖 An AI assistant on your real inbox

Connect your Microsoft 365 mailbox (yours, and shared ones like help@) and client email files itself against the right record. Flag "I need a reply" and it chases politely, and knows when the client's out-of-office says they're on a beach. Drafts come back in your firm's learned voice, from your knowledge base, never a robot's.

  • Client emails auto-matched to their record and timeline
  • Auto-chase that reads out-of-office replies
  • Drafts in your voice, with your house knowledge
  • Included at every price, not an enterprise add-on

✍️ Onboarding without the paper round

Raise a prospect straight from Companies House, price a proposal from your own service menu, send it for one-click agreement, generate the engagement letter with per-service clauses and get it e-signed, no third-party signing fees. AML checks slot in, the welcome email goes out, and polite nudges chase anything that stalls, on either side of the desk.

  • Companies House lookup fills the form for you
  • Priced proposals with agree or request-changes links
  • Engagement letters e-signed with a full audit trail
  • Automatic, human-sounding chases at 3, 7 and 14 days

Plus: client email campaigns with live merge fields, opens and bounce tracking · a client portal on the web for the app-shy · document storage with SharePoint sync · clients imported from Companies House, CSV or by hand · per-person permissions for your team · a full audit trail under everything.

On the roadmap: live HMRC positions and agent authorisation inside Manager, arriving once our production path with HMRC completes approval.

Questions

Everything a careful firm asks first.

Where is our data held?
In the UK. The platform runs on Microsoft Azure in UK South, the database sits in London, and files are stored encrypted with a strict upload gate (type checks, content sniffing, nothing executable). Every firm's data is segregated and that segregation is re-tested automatically on every release.
How do we get our clients in?
Three ways, all included: pull companies straight from Companies House by number (name, registered address and filing dates arrive on their own), import your list as a CSV with flexible headers, or add clients one at a time. Most firms are working within the hour.
Do our clients pay for the app?
Never. The app is free for your clients on iPhone (Android to follow), and it wears your branding on the white-label plan. They sign in with a portal login you send them, one invitation email, they set a password, done.
What does "unlimited users" actually mean?
Every member of your team can have a login at no extra cost, with per-person permissions so juniors see what you decide they see. We price on your client count because that's what actually drives our costs, not on how many humans you employ.
How do we know a message is really from our client?
Every chat message and upload is tied server-side to a verified portal login, we show you the name, email and the device they signed in on. Nothing is taken from an email's claimed sender. It's the difference between a signed letter and a note under the door.
Is there a contract or minimum term?
No. Monthly plans are rolling and you can cancel any time. Annual plans simply give you two months free. The free tier (up to 10 clients) is free forever, no card required.
What happens to our data if we stop paying, or leave?
Nothing dramatic, and nothing silent. If a payment fails we simply pause staff access while Stripe retries, your data stays exactly where it is and your clients keep using their portal and app. Pay again and everything unlocks instantly. If you leave for good, we keep your data safe for 90 days (with warning emails at day 60 and day 83) so you can come back or take an export, then it is permanently deleted. We never hold your data hostage and we never delete it without telling you first.
What about live HMRC data and agent authorisation?
They exist in the platform today and run for our own practice. We hold them back from general release until our production path with HMRC completes approval, we'd rather ship it properly than ship it fast. When it lands, it will be an optional module on top of your plan.
Can we move from BrightManager, Karbon, Senta or a spreadsheet?
Yes. A CSV export of your client list is enough to get going, and Companies House fills in the gaps for your limited companies. We help founding firms with migration personally, book a walkthrough below and bring your worst spreadsheet.
What does the AI actually see?
Your connected mailbox and the knowledge you choose to give it. It drafts, files and chases; a human always presses send. It never trains public models on your data.
Who builds this?
Doddletax is built by IT All Figures Limited, a real UK accountancy practice (Companies House No. 08097120). Every feature runs in our own practice before it reaches yours, we're our own most demanding customer.
